Dave sent another file for review. I wrote back that it's missing a few fields. Dave then sent another file, but it, too was missing a few fields. Gave him a list of additional fields to satisfy request. |

Dave sent a new test file for validation. I responded saying the format will probably work. I also suggested that, based on experience with other cities, they may want to export a year or two at a time so as not to overwhelm their system. |

Scott wants me to talk with Sunnyvale's Director of Finance and Administration, Dave Cranford. I replied with my phone number. Dave later emailed a PDF of what Incode can provide. I wrote back saying that an Incode sales rep said it should be possible to choose Excel instead of PDF for any report. Dave replied that he had worked with an Incode support person for 30 minutes the prior day and that: Two export files are created when you click the export file prompt. One file, a summary, can be exported into an excel format (see 1st file above). I assume the detail is in the other report which is an XML format and neither I nor the support person could get it open. Dave also emailed a sample Excel file that he was able to produce from Incode. |

Scott Campbell replied saying that they are working with Incode vendor to figure out how to comply with my request. I replied letting him know that I am contacting Incode (actually Tyler Technologies) about some other cities, too. |

Asked Kathryn Dewey what can be done to advance this request. |

Discussed the request more over the phone. Assured them that I do not need a response before the statutorily-prescribed 10 day open records limit. They are receptive to exploring a direct export from their underlying database system. |
